Customer records and stamp card
Customer records build up without the paperwork
You mark the visit as done. That is all: the visit is saved on the customer's card, and next time you can see what was done, when and by whom. A customer who came from the queue ends up in the same customer register.
Why this is worth using
The register builds while you work
The notebook stays in the cupboard. You do not write a name on paper and copy it over later. The customer from a hectic afternoon is on file just as reliably as the one from a quiet morning.
You know who is coming
Before the customer sits down you can see the previous visit: what was done, when and who did it. Your own notes are in the same view. A stand-in sees exactly the same picture, so nobody has to guess during the holidays.
The stamp card gives a reason to come back
While a card is unfinished, the customer has a concrete reason to come back to you. You choose the reward yourself, so you can size it to fit your services and your margins.
How it works
You mark the visit as done
The same button as before, and it works the same whether the customer booked ahead or came from the queue.
The card updates in the background
Number of visits, latest visit, average spend, cancellations and no-shows are worked out for you. Every visit leaves its own row in the history.
You find the customer mid-call
You type part of a name, a phone number or an email address. The card opens in the same view where you make the booking, so the call does not have to be interrupted.
What this includes
- Customer card and visit history
- Contact details, visits with the services, cancellations and no-shows. Your own notes are visible only to the staff of your own location, never to the customer.
- Search by name and number
- Search finds a customer from part of their name, phone number or email address. You do not have to remember the whole thing, and the word order does not matter. How the accents are typed does not decide the match.
The same search finds both Sanna and Säde. - A stamp card on your terms
- You decide how many stamps the card takes, what the reward is and how long it stays valid. A queue visit earns a stamp just like a booked appointment. A stamp can only be recorded for a customer who has an account.
- Duplicates are brought to your attention
- If the same person is in the register twice with different details, you get a suggestion to merge them. Nothing is merged automatically: you make the decision, and you can undo it for a day.
What this does not do
- A stamp requires the customer to have an account. Without one the visit is recorded as normal, but there is nobody to attach the stamp to.
- Customer records are not imported from your old system. The register starts filling from the day you begin using this one.
- Customer records belong to your location. We do not merge customers between businesses and we do not sell customer data. The processors involved in running the service are listed in the privacy notice.
Questions about customer records
- What does the customer see of their own details?
- Their own bookings, their visits and where their stamp card stands. Internal notes, the statistics and any merge suggestions stay with the staff.
- What happens if a customer asks to have their data deleted?
- The identifying details are anonymised on request. The name, email address and phone number are removed from the customer card, and the customer can no longer be found with them. The visit rows remain without identifying details. We also keep the record of the objection to messages, so that messaging is not started again by accident.
