A calendar that knows who is working

Available times are calculated from shifts, absences and the times already booked. Change a shift, and the times offered to customers update with it.

Shifts

An absence shortens Thursday's shift. The later times disappear for the customer at the same time.

Why this is worth using

One change is enough

You mark the holiday or the short day once. The times close on their own, and you never walk through the calendar day by day.

Double bookings are blocked

Two customers can pick the same time. The server decides at booking time who was first, and the other one is told right away.

Both pick the same time. The server confirms the first and tells the second that the time is gone.

Fewer forgotten appointments

The confirmation goes out the moment the booking is made. The reminder goes out by email the day before the visit.

How it works

  1. You set the week's shifts

    Working hours per employee. If the shifts alternate week by week, you set both weeks and the starting week, and the list never has to be extended by hand.

  2. You record the exceptions

    Holiday and sick leave are entered as whole days, from one day to many. For a shorter day you change that one day’s hours, and the weekly pattern stays as it is.

  3. The customer only sees free times

    Times are calculated from shifts, the length of the service and the times already booked. The same calculation runs on the booking form, in the app and on your own site.

What the calendar includes

  • Shifts and alternating weeks

    A weekly pattern per employee, and a second pattern for weeks that alternate. A single day can be changed without touching the weekly pattern.

  • Absences as whole days

    Holiday and sick leave are entered as whole days, from one day to many. An absence always comes before a change to one day and before the weekly pattern.

  • Views for the day and the week

    Day, week, month and per-employee views. You move a booking to another time or another employee straight from the calendar.

  • Confirmations and reminders

    A confirmation the moment the booking is made, a reminder the day before the visit. Reminders can be switched off in the settings.

  • You can approve bookings yourself

    A new booking waits for your approval if you want it to. The customer is told the moment you approve or decline it.

What the calendar does not do

  • Confirmations and reminders are sent by email.
  • There is no sync with external calendars in either direction. A booking comes with a calendar file the customer can add to their own calendar.
  • There is no import tool for bookings from an old system. Upcoming bookings are moved by hand during onboarding.

Questions about the calendar

Can I deliberately create an overlapping booking?
Yes. When you make the booking in the dashboard, you can override the conflict, for example when two customers can be handled in parallel. The override is recorded on the booking, so afterwards you can see what was intended.
How do I mark a break or other blocked time?
You add a blocked period to the calendar without a customer. It closes the time for bookings, but it is not a booking: it does not end up in customer records or reports.
